When CRM consulting is worth it

The most expensive CRM mistakes happen before any build starts: buying the wrong edition, underestimating data migration, or choosing a platform for features nobody will use. A few weeks of structured advice costs far less than a year of working around a poor decision. It is usually worth it when one of these applies:

  • You are replacing spreadsheets or an outgrown CRM and need to know what good looks like.
  • You are preparing a business case or an approach to market and need requirements you can defend.
  • You already have Salesforce and want an honest view on whether it is set up well.

What we look at

We start with how your organisation works today: the processes, the people, the data and the systems around them. From there we test whether Salesforce is the right fit, which products and editions you need, and what it will take to get there. If another platform would serve you better, we will say so.

Our advice is independent. We do not resell licences, so the recommendation is based on your needs and your budget, not on the size of an order. Where a decision depends on numbers, such as licence counts or migration effort, we show how we arrived at them so your team can test the assumptions.

Common questions

Is CRM consulting only for organisations choosing Salesforce?

No. Most of our clients are considering or already using Salesforce, but the early work is platform neutral: understanding processes, data and requirements. If that work shows a different product would suit you better, we will tell you plainly, and the requirements remain useful whatever you choose.

How long does a CRM consulting engagement take?

A focused review or requirements exercise usually takes two to six weeks, depending on how many teams and systems are involved and how quickly stakeholders are available for workshops. We agree the scope, outputs and timeline in writing before starting, so you know exactly what you will receive.

Can you help us reduce our Salesforce licence costs?

Often, yes. We compare the licences and add-ons you pay for against how people actually use the system, look for inactive users and unused features, and check whether a different edition or licence type would cover your needs. You receive the findings in time to act on them before your renewal date.

A national cultural institution, Canberra

A first CRM for partner and enquiry management

Problem
The institution managed a national network of partner organisations, their sites, group memberships and billing arrangements, along with incoming enquiries, across spreadsheets and email. Staff needed one system they could trust, designed so it could connect to other systems later without a redesign.
Approach
We wrote the high-level solution design and environment strategy, then designed and built the data model. It covers partner organisations, sites with unique identifiers, group memberships with start and end dates, and billing relationships, all protected by validation rules so duplicates cannot creep in. Each staff role got least-privilege permission set groups, and enquiries are routed through queues. Every change moved through source control and pull requests across development, QA and training environments, and user acceptance testing defects were fixed and retested before promotion.
Outcome
The first release was deployed to production with all 164 components passing, backed by a release runsheet, a training environment for staff and documentation the institution owns. Later releases, such as web enquiries and integrations, can build on the same design.
